One of the biggest challenge for system administrator migrating to cloud from existing Microsoft Outlook PST platform is how to manage the existing PST files. The issue is more related to the size limitation on cloud. The organisation pays based on size on the cloud so migrating the existing content could sometime be not possible due to humongous nature of the PST files or rather multiple pst files for a single user. The question then arises how to manage the existing PST files.

One of the effective solution that is provided by PCVITA as part of the Email Efficiency Management is a three phase approach. The three phases are

Collect all the PST files for each user and store them into user based folder hierarchy.

Merge all the PST files inot single PST file while removing duplicates.

Split the merged PST file into multiple PST file based on year.

This overall reduces the size of PST file as it have been observed while working with multiple pst files end user tends to duplicate lot of the email data due to various reasons. Based on our customer data almost 40% of data across multiple PST file can be duplicated. The merge process ensure the following

Maintain the folder hierarchy across all PST files.

Remove duplicates based on all attributes of the email i.e. to, cc, dates, body and attachment file names.

Once the email data is merged then the split the merged files into individual year. This can lead to many PST files so the efficient way is to

Split All the emails from say 1975-2007 into a single PST file.

From 2008 onwards create individual PST files.

This approach overall reduces the number of PST files generated.

PCVITA PST Magic automates the overall process explained above and provide one of the most unique solution provided in the world. The solution based on customer feedback who have used the tool for managing 2000 users as part of acquisation process and migrating to new Microsoft Exchange Server or Exchange Online environment.

While migrating to Exchange Server as messaging platform from the existing Lotus Notes platform, one of the major concern is dealing with tons of archive NSF files. These are typically huge files and moving them to Exchange is an overhead for it.

To overcome this, we recommend the NSF emails to be moved to Microsoft Sharepoint in the form of MSG files for emails. Microsoft Sharepoint provided search within MSG file format, this will ensure user can search on the archive emails without any problem also due to inbuilt workflow capability of Sharepoint, ediscovery process will be trivial thing.

This will save lot for any organisation for whom ediscovery is becoming a necessity.

PCVITA Express Migrator have added a new option for migrating Lotus Notes NSF files to Sharepoint. It is simple and easy to use and provide feature such moving multiple users nsf files at the same time. It also ensure the folder hierarchy is maintained.

Check some screenshot of the product

It is becoming very difficult for System Administrator to quickly migrate the existing organisation common internal documents related to finance, administartion ,HR, Research and Development and other related documents to quickly migrate them to Microsoft Sharepoint Server.

PCVITA Express Migrator For Sharepoint acts as a smart bridge which is easy to use, effective and efficient to move their existing file system content to Sharepoint as part of Sharepoint Migration.

PCVITA Express Migrator for Sharepoint also supports migrating content which is residing in Exchange Server Public folder to Sharepoint as part of sharepoint migration strategy. Many organisation are using Public Folder to keep their common document and share across the organisation. These can now be easily migrated to Sharepoint as part of the Sharepoint Migration. This is great in scenario where the Sharepoint Administrator doesn’t need two products to perform the Sharepoint Migration.

PCVITA Express Migrator for Sharepoint comes with the following features

Support for adding files and folders.

Support for associating meta information with the files.

Select the destination document library on target sharepoint server.

Create a new document library.

A minor update for Express Migrator to Google Apps was released today which added the feature for category based migration. The following categories were supported

Email

Contacts

Calendars

One of our customer while doing migration got his machine restarted due to Windows Update. This resulted the migration to quit in between. The customer would have to migrate again the huge file which would have wasted the previous effort. As per the user the emails migration was done and others i.e. calendars and contacts were remaining. So to avoid the effort going waste we added this feature quickly to our product.

This would really come handy for users who would like to migrate partially the Lotus Notes NSF files to Google Apps account.

FRCP Stands for Federal Rule of Civil Procedure. With FRCP amendments, which went into effect on December 1, 2006, mandate that organization must be prepared for electronic discovery. Organizations must manage their electronically stored information (ESI), so that it can be produced in a timely and complete manner when necessary. This includes legal matters. Here are a few things that have become reality:

The courts no longer tolerate an organization that has not yet implemented timely programs to accurately retrieve email.

Just implementing a policy for retention is not enough. You must prove that they are enforced at all levels.

The penalties for failing to meet the FRCP deadlines can be much larger than putting a system in place. In cases where it failed it may lead loosing of the law suit.

Limited staff and resources are not excuses for missing deadlines, even for small organizations.

The focus is more on retrieval on emails apart from just storing the emails. The retrieval of emails on demand is become the most important aspect.

There are 3 important aspects of FRCP from email archiving solution point of view

The email archiving solution should not modify the original content of emails messages including its metadata information. The metadata information should be kept intact.

The email archiving solution should be able to export the archived email messages in its original format.

The email archiving solution provides simple and powerful search mechanism so that its easier to search on the archived message anytime.

PCVITA Express Migrator For Google Apps is one of the easy way to migrate to Google Apps Premier Edition from existing IBM Lotus Notes environment. The user need to follow the pre-requisite as described in the previous post PCVITA Lotus Notes to Google Apps Pre-requisites.

Apart from that the product requires Lotus Notes to be installed on the workstation and it should not be connected to Domino Server. The product is compatible with Lotus Notes 6.5/7.0/8.0/8.5 versions.

Once the pre-requisites are met the user can wizard like product to migrate the existing NSF data to Google Apps account. In case the NSF files are encrypted then those cannot be migrated without the corresponding user.id file and the password. The SwitchID process should be performed to first switch to the NSF user using the ID file and password and then the corresponding NSF file can be migrated.

There are mainly 4 steps to migrate.

Step 1: Select the Option i.e. Lotus Notes to Google Apps. [The product will be enhanced to support Microsoft Outlook and Outlook Express]

Step 2: Provide the Domain Information

Provide the name of the domain that is registered with Google Apps and click on Text. It verifies with the Google Apps and then provide the conformation in the form of green tick mark as shown above in the picture.

Step 3: Add the NSF files and provides the Google Apps account information for the user. Provide the username and password for the Google Apps for the corresponding NSF file not the username & password for the Lotus Notes NSF file.

Step 4: Click Next. It verifies the username and password with Google Apps account. If all the username and password are proper it moves next otherwise it flags an error.

Step 5: Once all the users are proper, the filter screen comes

Step 6: Click on Export. The migration starts. The progress of migration is displayed through online status window.
